Estimating Coordinator

Position summary

The Estimating Coordinator administers and assists with the initiatives of all construction projects in the estimating department. Our ideal candidate is professional, detail-oriented and organized, and must have outstanding communication skills as to act as a liaison between subcontractors, vendors and estimators.

Responsibilities:
·         Maintain and update bidding website/subcontractor database (ISqft) with plans, specs, addenda, contract and trade information
·         Maintain standard bid invites for both Quincy and Falmouth
·         Assist estimators with document control, order specs and drawings
·         Assists in the solicitation of subcontractors and suppliers for bids and assure adequate coverage for each trade (minimum three for each trade)
·         Prepare estimate bid boxes and binders with tabs for all estimators as needed
·         Track, log and distribute all bids on bid day. Always have 3 bid boxes ready for use
·         Manage new info to iSqFt as shown on returned bid invites and do 6-month update requests to entire ISqFt directory
·         Maintain our subcontractor database by performing updates for new subcontractors and suppliers
·         Assist Risk Management with prequalification of new and existing subs.  Work with Risk Management to make sure we have all necessary documentation. Update and track subs rating
·         Distribute and file relevant project information after award of a project at the direction of the Chief Estimator
·         Archive non-awarded projects electronically and collect and destroy plans that are no longer needed at the direction of the Estimator
·         Work closely with Project Development Manager on updating project documentation and lessons learned database
·         Coordinate meetings both internally and externally for the estimating department.  Take notes and update weekly agenda
·         Organize weekly management meetings and distribute weekly estimating schedule every Wednesday
·         Assist with coordination of college interns but do not supervise
·         Assist with the training of new department employees on ISqft
·         Set up lunch and learn sessions at direction of Chief Estimator
·         Manage department software licenses (ISqft and Onscreen Takeoff)
·         Assists in reception desk rotation coverage for absences and lunches
Qualifications:
·         Construction office experience is a plus
·         Thorough working knowledge of MS Word, Excel, Outlook
·         Effective communicator, both verbally and in writing

·         Skilled in the use of computer software including Microsoft Office & spreadsheets
·         Initiative to meet designated time tables with minimum supervision
